Refunds & Transfers
Plans change — we get it. This page is our sitewide policy in plain language: clear refund windows for card tickets, free self-serve transfers, reserve-and-pay-at-door nights, and how membership billing works. A specific event can carry its own terms on its page, and those win. Not sure? Just ask us. All events are 21+.
01 The basics
The rules below are our sitewide defaults, and they cover almost every night we throw. A specific event can carry its own terms — hotel takeovers and travel sometimes need deposit schedules or earlier cutoffs — and when it does, those terms appear on the event's own page before you buy, and they win. If this page and an event page ever seem to disagree, the event page applies to that night. One definition used throughout: “doors” means the start time published on the event page — that's the clock every deadline below runs on.
Tickets are purchased online in advance. Your payment confirms the ticket, and the refund and transfer options below explain what happens if plans change. No ticket payment is collected at the door.
02 Ticket refunds (card purchases)
- More than 72 hours before doors: full refund to your original payment method, on request. No fees, no questions. Closer than that, late releases are hard to resell — tell us as soon as you can. If your spot refills — waitlists usually manage it — you get a full refund; ask us within 30 days of the event and we'll check. Social and Legacy members can skip the wait and take instant TampArotic Credit for the full amount instead (good for 6 or 12 months by tier, toward any future night).
- After doors open / no-show: no refund. Your night was held for you.
- Card refunds typically land in 5–10 business days, depending on your bank. Credit posts to your account instantly and shows its own expiry date there.
03 Prepaid ticket purchases
- Priced tickets are paid online when you book. Your ticket is confirmed after payment. Event tickets are prepaid only — there is no pay-at-door option.
- If a vetting application is declined after a ticket purchase, the ticket price is refunded less the card processing fee; the card processing fee is non-refundable.
- Need to cancel? The refund windows in section 02 apply.
- You can also transfer your ticket free from your ticket page any time before the event begins, subject to the eligibility rules in section 04.
04 Transferring a ticket
- Transfers are free and self-serve from your ticket page, any time before the event begins. Your guest claims with a name and email and gets a fresh ticket; yours is voided.
- Claiming a transfer doesn't run a vetting or eligibility check online. The recipient must be 21+, vetted, and eligible for that event and ticket tier — check the event page for any couples, ratio, or dress-code requirements — and all of it is enforced at the door.
- A transferred guest who isn't eligible or vetted can be turned away on arrival, even though the transfer went through — so make sure your guest gets vetted before the night.
05 Waitlists
- When a night sells out, you can join the waitlist. If a seat opens, we email a claim offer with a deadline on it.
- You're only charged if and when you claim the offer. If the claim window passes, the spot moves to the next person — no charge, and you stay eligible for future openings.
06 If an event changes
- We cancel: every ticket is refunded in full to its original payment method — you don't need to ask; our team works through every order.
- We reschedule or move venues: your ticket carries over, and we'll tell you by email. Prefer not to? Full refund on request within 14 days of our announcement email.
- Weather calls at outdoor events follow the same rules — if we call it, you're covered.
07 Entry & vetting
- A paid ticket is not a promise of entry. Every guest must be 21+, vetted, and within our code of conduct — that's what keeps the room worth being in.
- New here? Get vetted before the night. If you apply before the ticket refund window in section 02 closes and we still can't complete or approve your vetting in time, you get a full refund.
- Using a Social or Legacy member's guest pass? Include their reference in your application. A vouch gives the hosts context; it does not replace approval. Approved or conditionally cleared guests can continue with booking; other applications wait for a host's decision. Entry requirements still apply, and door staff have the final say.
- A guest turned away at the door — for failing ID, for arriving in a state our door team judges unsafe for them or the room, or for breaking the code of conduct — is not refunded. As a private 21+ event series we reserve the right to refuse entry to keep the room safe and comfortable; those are the common reasons, not the only ones.
08 Membership billing & refunds
- Tiers and prices. Free is free. Social is $5.99/month or $59/year. Legacy is $9.99/month or $99/year. Existing subscriptions retain their recorded billing terms until you choose a change.
- You pay when you apply. Paid tiers (Social and Legacy) charge at application. Benefits unlock only when your application is approved. If we can't approve you, we cancel the subscription and refund the membership payment in full, automatically.
- Changed your mind? Email us within 7 days of your first membership charge — or of your approval, whichever is later — and we'll refund it in full. (Email for this one rather than the account's Cancel button; the button is the normal keep-until-period-end cancel.)
- Renewals: memberships renew on your billing date (monthly or annual — your choice) and you get a receipt for every charge. We email a reminder 60 days before an annual renewal, giving you time to change your mind before the card is charged. Monthly memberships do not receive a renewal reminder.
- Cancelling: cancel any time from your account. You keep your benefits until the end of the period you've paid for, then nothing renews. We don't refund partial periods — you already own that time, and there is no pro-rated refund for the unused remainder. Cancel before your renewal date and you won't be charged again; if a same-day charge slips through, tell us and we'll refund it.
- Downgrades and upgrades: a downgrade keeps your current tier through the period you've paid for, then switches at renewal. An upgrade unlocks its benefits right away, and your billing adjusts to the new tier from that point. Moving from free Free onto a paid tier goes through checkout.
- If a renewal payment fails, we email you and retry. Your benefits continue for a 14-day grace period; after that they pause until payment catches up. Nothing is deleted — your approval and history stay with your account.
- If we end a membership for a code-of-conduct violation, it follows the same rule as being turned away at the door: no refund of the current period. There is no separate appeals track in the product — write us if you believe a decision was made in error and a human will read it.
09 What each tier includes
Entitlements below are the live benefit table — the same numbers the site uses to price tickets and issue perks. Compare them anytime on the membership page.
- Free (free). Vetted community access at standard ticket and merch pricing. No ticket discount, no merch discount, no points, no welcome bonus, no guest passes, and no event-credit window. Member presale after paid tiers. Does not waive a non-member fee. Ticket purchases follow the event’s published sales windows. Approved and conditionally approved members can pay; applications needing host review wait for an approval email.
- Social ($5.99/mo or $59/yr). 15% off eligible couple event admission, 10% off merch, 1 point per $25 of eligible ticket and hotel spending, 10-point welcome bonus, 1 new couple per membership year, and a 6-month event-credit window. Access to Social/Legacy-only events. Non-member fee waived. Ticket purchases follow the event’s published sales windows. Approved and conditionally approved members can pay; applications needing host review wait for an approval email. Presale ahead of Free and the general sale.
- Legacy ($9.99/mo or $99/yr). 25% off eligible couple event admission, 20% off merch, 2 points per $25 of eligible ticket and hotel spending, 25-point welcome bonus, 1 new couple per membership year, and a 12-month event-credit window. First access / earliest presale for select events, priority booking and room request consideration subject to availability, Social/Legacy-only and Legacy-only events, non-member fee waived, and day-of-purchase access.
- Free membership offers community access at standard admission pricing. Paid-tier savings apply to eligible couple admission; any exact event-specific membership price takes precedence, without stacking discounts.
10 Points & event credits
- Earning. Paid tiers earn points on qualifying ticket and booking spend: Social earns 1 point per $25; Legacy earns 2 points per $25. Free does not earn points. Welcome points are granted once per tier when that tier first activates.
- Value & redeeming. Each point is worth $0.25 in account credit when redeemed. The minimum redemption is 100 points. Redeemed credit is issued with its own expiry (12 months from redemption).
- Points expiry. Points expire 12 months after they are earned. They do not last forever. Spend or redeem them while they're live; your account shows remaining balances.
- Event credit. When a late ticket release is settled as TampArotic Credit instead of a card refund, Social credit is good for 6 months and Legacy credit for 12 months from issue. Credit applies at checkout toward a future order; Free has no event-credit window in the benefit table.
- After a membership ends. Cancel-at-period-end keeps paid-tier benefits through the period you already paid for. If your membership lapses or you move back to Free, we don't wipe what you've earned — points, event credit, and any unused guest passes stay on your account and simply run out on their own normal expiry dates. Rejoin inside that window and your balance is still there. The one exception: if a membership is ended for a code-of-conduct violation, any remaining points, credit, and passes are forfeited.
11 Guest passes
- Social members receive 1 new couple per membership year. Legacy members receive 1. Free receives 0. Your allowance follows the anniversary of your paid membership and does not reset on January 1 or each monthly payment. Unused passes do not carry into the next membership year.
- New passes expire at the end of their membership year. Existing issued passes keep their original expiry dates. The team arranges one new couple’s place at an eligible event; contact us before the night. Unused passes are not refunded for cash.
- A guest pass is a ticket, not a free pass around the house rules. Guests must still be 21+, follow the code of conduct, and meet any event-specific dress or couple/ratio rules. Every guest needs approval or conditional clearance to continue with booking. A member's vouch supports the application but does not replace approval; door staff can still refuse entry.
- Guest passes apply to events marked eligible (meet-and-greets and club nights by default, or as marked on the event). They are not a universal ticket to every format we run.
12 How to ask
The fastest route is the request cancellation button on your ticket page (the link from your confirmation email) — it goes straight to our team. For anything else, including membership billing, email tamparotic@gmail.com from the address on your order and tell us the event and what you need. A human answers — usually within two business days, faster near an event. If a charge ever looks wrong, we'd love the first shot at fixing it — we honor everything on this page and it's usually faster than a bank dispute — though of course your bank is always available to you.
